AIIMN is a private, application-based community for operators. This policy explains what information the AIIMN website collects, why it is used, and the choices available to you.
Information we collect
Membership applications
When you apply, we collect the information you enter, including your name, email address, company, a recent AI workflow with the tools or systems used and what worked or broke, what you want to build next, and your agreement to contribute practical experience inside the community. Your role and company website or LinkedIn URL are optional.
You may also upload an AI-generated application as a JSON, TXT, or MD file. We receive the file, its name, and the information in it. Please do not include passwords, payment card details, health information, trade secrets, or other sensitive information that is not needed to review your application.
Event, worksheet, and newsletter signups
When you register for an AIIMN event, we collect the name and email address you enter so we can manage the registration, send the join link and event reminder, and enroll you in AIIMN e-news as disclosed on the form. Event registration does not include a replay unless the form expressly says otherwise. Every AIIMN e-news email includes an unsubscribe option.
When the Find Your First AI Workflow signup is available and you request the worksheet, we collect your email address so we can provide the worksheet and enroll you in AIIMN e-news. The form explains this before you submit, and every e-news email includes an unsubscribe option. If you contact us by email, we receive the details you provide in your message and use them to respond.
Technical and usage information
The site and its hosting services may process ordinary request information, such as an IP address, browser or device information, requested pages, timestamps, and error or security logs. For application abuse prevention, AIIMN uses the submitting address only to derive a short-lived, one-way rate-limit key; new application records do not include the address or that key. Older application records are not changed by this update. The worksheet signup also uses short-lived, one-way identifiers for abuse prevention and duplicate handling; it does not create a separate local WordPress list of submitted email addresses.
How we use information
- Review membership applications, email the decision, request more information when needed, and send accepted applicants a private signup link.
- Manage event registrations, send the join link and one event reminder, operate AIIMN e-news, provide requested resources, and respond to messages.
- Run, secure, troubleshoot, and improve the site and application process.
- Understand site performance and marketing effectiveness when analytics or advertising tools are configured.
- Comply with legal obligations and protect the rights, safety, and integrity of AIIMN, its members, and others.
Where information goes
Membership applications are stored as structured data in WordPress. Uploaded application files and an application log are stored in the WordPress uploads environment with server access guards. WordPress also sends an application notification email to the configured site administrator.
AIIMN stores masterclass registrations first-party in WordPress as the authoritative event list. When the Beehiiv connection is active, AIIMN also sends the submitted name and email address, event classification, and consented subscription source to Beehiiv so it can maintain the subscriber record and deliver the event emails and AIIMN e-news. AIIMN does not sell email addresses or share them with other companies for their own marketing.
When you register for a masterclass or other AIIMN event, AIIMN sends Meta a record of that registration through a server-side connection, so AIIMN can measure which of its ads produced registrations. That record contains an irreversible SHA-256 hash of your email address, an irreversible hash of your first name, and the event identifier. AIIMN does not send your readable email address, your readable name, your registration answers, or any other form content. Meta processes this to attribute and improve AIIMN’s own advertising. This measurement applies to the registration you submitted and is separate from the optional analytics choice, which governs what loads in your browser as you read the site. If your browser sends a Global Privacy Control signal, AIIMN does not send the registration to Meta.
AIIMN uses Cloudflare Turnstile as an essential security service on the membership application. Cloudflare may process connection, browser, device, and challenge signals, including an IP address, to decide whether the security check is valid. AIIMN sends the Turnstile response token for verification, but does not send application answers, email, company details, uploaded-file details, or analytics-consent choices with that verification request. When the worksheet signup is available, AIIMN sends the email address from that form to Beehiiv through a server-side connection. Beehiiv maintains the newsletter subscriber record and supports newsletter delivery and unsubscribe processing. AIIMN does not include the email address, a hash of it, or a provider subscriber identifier in website analytics events.
We may rely on service providers that support the site, such as WordPress hosting, infrastructure, and email delivery providers. Those providers process information as needed to provide their services.
Analytics and privacy choices
AIIMN uses optional analytics to understand which pages and application steps are useful. No optional analytics loads in your browser until you choose. If configured, Google Analytics 4, Google Tag Manager, or the Meta browser pixel may load only after you choose “Allow analytics,” and only later actions may be measured. Actions taken before consent are not stored for later replay. This choice governs browser analytics. The server-side event-registration record described under “Where information goes” is sent on the registration you submitted and is not controlled by this choice.
Turnstile is an essential application-security service, not optional analytics. It may load on the Join page when applications are available regardless of the optional analytics choice. Application answers are not included in AIIMN analytics events.
If you choose “Keep analytics off” or later revoke permission, future optional transport and event emission remain off. AIIMN stores only the granted or denied choice in this browser; the choice contains no application answers or other personal details. Use “Privacy choices” in the footer to change it.
If your browser sends a Global Privacy Control signal and no saved choice exists, optional analytics defaults off. The Privacy choices control remains available.
Newsletter provider
Beehiiv is AIIMN’s email and newsletter provider. When you submit a form that discloses AIIMN e-news enrollment, AIIMN sends the submitted contact details and source classification to Beehiiv for delivery and unsubscribe processing. Beehiiv processes that information as a service provider under its own terms and privacy policy.
Retention and security
Information may be kept for as long as it is reasonably needed to review applications, operate the community and newsletter, maintain business records, resolve disputes, protect the service, and meet legal obligations. Retention can vary by record and operational need.
Application rate-limit keys expire with their stated windows. The 24-hour duplicate check uses the timestamp on the stored application rather than creating a separate tracking record. Daily application-defense counts contain only a UTC date, an outcome category, and a count, and are kept for no more than 35 days.
We use WordPress and hosting safeguards intended to protect information, but no website, email, or storage system can be guaranteed completely secure. Please submit only information appropriate for an application or message.
Your choices and rights
Depending on where you live, you may have rights to ask for access to, correction of, or deletion of personal information, or to object to or restrict certain uses. You may also withdraw consent where consent is the basis for processing. We may need to verify your request, and legal exceptions may apply.
To stop newsletter emails, use the unsubscribe method included in the message when available or contact us. To make a privacy request, email hello@aiimn.io.
Children
AIIMN is intended for adults and is not directed to children under 18. Please do not submit an application if you are under 18.
Changes to this policy
We may update this policy as the site, community, or legal requirements change. The updated version will be posted here with a revised date.
