Privacy Policy

AIIMN is a private, application-based community for operators. This policy explains what information the AIIMN website collects, why it is used, and the choices available to you.

Information we collect

Membership applications

When you apply, we collect the information you enter, including your name, email address, company, a recent AI workflow with the tools or systems used and what worked or broke, what you want to build next, and your agreement to contribute practical experience inside the community. Your role and company website or LinkedIn URL are optional.

You may also upload an AI-generated application as a JSON, TXT, MD, or Markdown file. We receive the file, its name, and the information in it. Please do not include passwords, payment card details, health information, trade secrets, or other sensitive information that is not needed to review your application.

Newsletter signups and messages

Newsletter signup is handled on an external Beehiiv form. If you choose that link and subscribe, you provide your email address directly to Beehiiv. If you contact us by email, we receive the details you provide in your message and use them to respond.

Technical and usage information

The site and its hosting services may process ordinary request information, such as an IP address, browser or device information, requested pages, timestamps, and error or security logs. Application and native newsletter records include a one-way hash derived from the submitting IP address rather than the plain IP address.

How we use information

  • Review membership applications, send a decision within three business days, request more information when needed, and send accepted applicants a private signup link.
  • Operate the newsletter signup process and respond to support, partnership, or other messages.
  • Run, secure, troubleshoot, and improve the site and application process.
  • Understand site performance and marketing effectiveness when analytics or advertising tools are configured.
  • Comply with legal obligations and protect the rights, safety, and integrity of AIIMN, its members, and others.

Where information goes

Membership applications are stored as structured data in WordPress. Uploaded application files and an application log are stored in the WordPress uploads environment with server access guards. WordPress also sends an application notification email to the configured site administrator.

We may rely on service providers that support the site, such as WordPress hosting, infrastructure, and email delivery providers. Those providers process information as needed to provide their services.

Analytics and similar technologies

The theme supports Google Analytics 4, Google Tag Manager, and Meta Pixel. These tools run only if they are configured on the site. When enabled, they and any tags loaded through them may use cookies or similar technologies and receive information about visits, devices, referrers, page views, and interactions. Their handling of information is governed by their own policies. You can use browser settings or available privacy controls to limit cookies, although some site features may work differently.

Newsletter provider

The newsletter area links to an external Beehiiv signup form. If you choose that link, you leave AIIMN and submit information directly to Beehiiv. Beehiiv handles that information under its own terms and privacy policy.

Retention and security

Information may be kept for as long as it is reasonably needed to review applications, operate the community and newsletter, maintain business records, resolve disputes, protect the service, and meet legal obligations. Retention can vary by record and operational need.

We use WordPress and hosting safeguards intended to protect information, but no website, email, or storage system can be guaranteed completely secure. Please submit only information appropriate for an application or message.

Your choices and rights

Depending on where you live, you may have rights to ask for access to, correction of, or deletion of personal information, or to object to or restrict certain uses. You may also withdraw consent where consent is the basis for processing. We may need to verify your request, and legal exceptions may apply.

To stop newsletter emails, use the unsubscribe method included in the message when available or contact us. To make a privacy request, email hello@aiimn.io.

Children

AIIMN is intended for adults and is not directed to children under 18. Please do not submit an application if you are under 18.

Changes to this policy

We may update this policy as the site, community, or legal requirements change. The updated version will be posted here with a revised date.
